So now, what to do? You are about to start your new interior design or decoration biz but have no idea how to run a project from A-Z. This is stressful - you get the design part down, but the project management might be a blur.

You need to learn everything about the workflow and running a business. I knew this through added courses, being a freelance graphic designer, and a vivid entrepreneur since childhood. The same is what I hear from fellow interior designers as well - no one was prepared for "reality". So formally educated or not, the stress is about the same. 

I compiled everything to print in an easy-to-follow checklist—my interior design workflow blueprint. I promise to revisit this blueprint!

So, what does an interior designer do when the first client arrives? While it's easy to think our work involves selecting beautiful furniture or color schemes, the reality is far more comprehensive.

An interior designer manages every aspect of a project—from the initial client meeting to the final reveal. This checklist captures all those details, so you'll never feel lost or overwhelmed again.

When I started my business, I struggled with insecurity and uncertainty. I knew design, but I didn't know how to manage the process from A to Z with the confidence needed to show the confidence others seemed to have. Now I know the most struggle: keeping a poker face! 

Most of the knowledge I gained in my education focused on the creative aspects of design, not the business side or how to deliver a seamless client experience. Not knowing exactly what I was supposed to provide at each stage was overwhelming. I created this checklist—to give you the clarity and confidence I wish I had back then.

Phase 1: Client Onboarding

The foundation of a successful project is a strong client relationship. These steps will ensure you start on the right foot:

Initial Contact

Use a client intake form to gather essential details (project scope, style preferences, budget, timeline). Here is a digital form if you prefer this better.

Schedule a discovery call or meeting to dive deeper into their vision.

Contract & Proposal

Draft a clear, comprehensive proposal outlining your services and deliverables.

Secure a signed contract and initial deposit to confirm the project.

Welcome Package

Send a branded welcome package with an overview of your process, timelines, and what’s expected from both sides.

Phase 2: The Design Process

This is where the magic happens! My favorite place to be is on Pinterest, collecting ideas for my moodboards. 

Follow these steps to bring your client’s vision to life while staying organized:

Research & Inspiration

  • Gather client inspiration (Pinterest boards, magazine clippings, etc.).
  • Conduct site visits or request detailed measurements and photos.
  • Take a look at the notes you gathered in your onboarding process.

Concept Development

  • Create mood boards to communicate your ideas visually.
  • Present initial concepts and refine them based on client feedback.

Design Plan

  • Develop detailed floor plans, color schemes, and material selections.
  • Digital tools like RoomSketcher can be used to create 2D and 3D renderings.
  • Present the final design package for client approval.

Procurement & Implementation

  • Source furniture, décor, and materials, ensuring everything aligns with the design.
  • Oversee the installation process, coordinating with contractors and vendors.

Final Touches

  • Style the space with accessories and finishing details.
  • Conduct a walkthrough with the client to ensure satisfaction.

 


Phase 3: Client Follow-Up & Retention

Delivering exceptional results is only part of the equation. It is important to think about what you really deliver. It is more than design, it is peace of mind.

You are there to make the decisions that can be paralyzing. Be there to show confidence in the choices and show them beautifully crafted presentations. This is reassuring, you take the project as seriously as they do. Often, we talk about people's homes or businesses (read: babies). 

Build lasting relationships with these key steps:

  • Project Wrap-Up
  • Provide a project summary with care instructions for materials and furniture.
  • Deliver any remaining documents, such as warranties or receipts.
  • Gather Testimonials
  • Send a feedback form to collect insights on the client’s experience.
  • Ask for a testimonial and permission to share it on your website or social media.

Stay Connected

Follow up a few weeks after project completion to ensure they’re happy with the results.

  • Send a small thank-you gift or handwritten note to express your gratitude.
  • Encourage Referrals & Repeat Business
  • Share exclusive discounts or perks for returning clients.
  • Offer referral bonuses for any new clients they send your way.
